From the field to the finance team

Collections, without the loose ends

Your sellers send a payment proof on WhatsApp. Your office gets the details, the right invoices, and a collection sheet ready to reconcile.

The customer paid.
Now comes the chasing

A screenshot in one chat. A check in someone’s pocket. A spreadsheet waiting for Friday. Your team shouldn’t have to piece together a payment that already happened.

Collections brings the proof, the customer, and the invoices into the same story.

One payment. A clear path

Clarity in the office

Follow a transfer from the customer’s counter to the team closing the sheet.

Send the photo.
Skip the typing

The assistant reads the amount, date, and payment details. If the photo is unclear, your seller finds out while they’re still with the customer.

  • Several proofs in one message
  • Corrections right in the chat
  • Cash? Just type the amount.

its invoices

Oldest invoices first, or the ones your seller specifies. Any remainder stays on account. Balances include pending payments, so the same debt isn’t collected twice.

  • Customer balances from your ERP
  • Invoices and quotations kept separate

A human decision

Administration receives structured payments with their proofs attached. Your team reviews the documents, adjusts allocations, and closes the sheet when everything is accounted for.

For the people who close the day

Less detective work.
More control

Every seller’s sheet brings payments, proofs, and customer debt together. Your office sees what adds up, what’s unassigned, and what needs a closer look.

Move the payment. Keep the trail

Assign and split payments across customers on a visual board. Every change records who, when, and what changed.

Find the work that’s still open

Filter by customer, payment method, or circuit. Close customers one at a time, with a note for any remaining difference.

The report tells the same story

PDF sheets and Excel exports use the same calculations as the board, down to the reconciliation total.

01

The right people see the right data

Only enabled sellers can use the assistant. Each one sees their own customers and balances.

02

People approve. AI assists

Your team controls document review and closes the sheets. The original reading and every correction stay on record.

03

Your accounting stays yours

The ERP connection is read-only. Collections never writes to your ERP or posts accounting entries.

We confirm the connector your ERP needs before getting started.

A few practical questions

Before the
first payment

Let’s talk about your workflow
Do our sellers need another app?

No. They use WhatsApp to check balances, send payment proofs, and turn in their collection sheet. The assistant speaks Spanish and only responds to sellers enabled by your company.

Do we have to replace our ERP?

No. Collections reads sellers, customers, and outstanding invoices from your existing ERP through a connector. It does not write to your ERP or your accounting. We confirm the connection your system needs before starting.

Which payment methods can we register?

Transfers, checks, e-checks (echeqs), cash deposits, tax retention certificates, and cash. Sellers send a photo of the proof, or just type the amount for cash. You choose which methods each company accepts.

What if the assistant reads a proof incorrectly?

The seller can correct the details in the chat. The original reading is kept alongside the confirmed values. With document review enabled, administration approves each voucher before it is validated. Unreadable photos are flagged right away.

How are payments applied to invoices?

Oldest outstanding invoices first, with any remainder kept on account. Sellers can choose specific invoices in the chat. Administration can adjust assignments on the reconciliation board before closing. Invoices and quotations stay separate.

What happens to cash and commissions?

Sellers report their bank deposits and the commission they kept. Collections calculates the cash still owed to administration: cash collected minus deposits minus commission. The calculated amount cannot be overwritten.

What if a seller sends a payment twice?

Resending the same batch does not create duplicate payments. If a connection drops during a turn-in or deposit report, the assistant asks administration to check the result instead of blindly repeating the action.
